This Privacy Policy explains how Octo Inc. (“Octo”, “we”, “us") collects, uses, stores and protects personal data when you use the Octo enterprise AI operating system (“Service").

1. Data we collect

• Account information: name, email, phone, organization, role.
• Usage data: activity logs, IP address, browser/device type, and operational audit records.
• Your Content: data, documents, and configurations you upload or create using the Service.

2. How we use data

• Provide, operate and maintain the Service (Workspace, Octo Company OS, Approval Center, Mission Control, Model Gateway, Audit & Evidence).
• Process billing, subscriptions and invoices.
• Provide customer support and resolve requests.
• Maintain security, prevent fraud and enforce policies.
• Improve the Service and send service-related communications.

3. Data sharing

We share data only with trusted infrastructure, payment and support providers under confidentiality obligations, and with authorities when required by law.

4. Security

We encrypt data in transit (TLS) and at rest, apply least-privilege access controls, and maintain searchable audit trails for every meaningful action.

6. Retention

We retain personal data for as long as your Account is active, then for the period necessary to meet legal, tax and dispute-resolution obligations, after which it is deleted or anonymized.

We may update this Privacy Policy and will post the revised version with a new effective date.
